Zoë-Life: Financial and Administration Assistant
Zoë-Life seeks to appoint a Financial and Administration Assistant, based in Durban.
S/he will process the financial information into the books and records of Zoë-Life. S/he will support the financial and Administration Manager in the performance of all finance and administration duties. S/he will assist in the reporting and mentoring of both Zoë-Life and other funded projects.
Responsibilities:
- Ensure the timely capturing and daily reconciliation of all bank accounts in accordance with Zoë-Life policies and procedures including all monthly cashbook reconciliation reports
- Ensure capturing and reconciliation of creditors on a daily basis in accordance with Zoë-Life policies and procedures
- Process invoices for customers and resolve customer queries
- Submit monthly statements and provide full debtors service
- Update and maintain all required general ledger account schedules
- Ensure that the daily back-up of the accounting system is performed
- Review all general ledger accounts on a weekly basis
- Maintain and update the Fixed Asset Register
- Ensure that all assets are asset-tagged according to Zoë-Life policy and procedure
- Maintain the petty cash float and operate petty cash payments as per the Zoë-Life policy and procedures
- Assist in the preparation and coordination of reporting to funders and legislative compliance bodies and the coalition of all financial statutory returns information
- Assist the Financial and Administration Manager with all reporting requirements, costing and quotation, updating of the standard costing and production costs folders as and when pricing change
- Assist in preparing Zoë-Life for all audit requirements
- Assist with the collection and coordination of all timesheets for the human resources department as and when required
Requirements:
- Diploma in finance and/or administration
- Minimum of seven years experience in a diverse financial and administration environment
- Experience in Excel financial reporting
- Experience in integrated accounting software package, preferably Pastel
- Knowledge of NPO funding
- Experience in fleet and asset management
- Experience in branch or business unit reporting
- Financial and numeracy skills including high levels of accuracy
- Interpersonal and communication skills
- Ability to prioritise and work within deadlines
- Ability to work individually and as part of a team
- Information Technology skills
- Respect for confidentiality and integrity
