Lalela Project: Chief Operations Officer
Lalela Project seeks to appoint a Chief Operations Officer.
Responsibilities:
Funders and Other Stakeholders:
- Work with CEO to establish contact with funders, other NGOs, government departments, and schools
- Prospect, cultivate, and steward prospective and current donors, including individuals and corporations
- Manage all stakeholder and funder relationships in close coordination with CEO
- Develop fundraising strategies with Trustees and the supports them in fundraising activities in conjunction with CEO
- Oversees the timely submission of grant applications and progress reports for funders
Community Relationships:
- Ensure that Lalela Project’s mission, programs, and services are consistently presented in a strong, positive image to relevant stakeholders in conjunction with CEO
- Actively advocate for Lalela Project and its programmatic efforts in conjunction with CEO
- Act as a liaison between Lalela Project and the community, building relationships with peer organizations when appropriate
- Operational Management
Organisational Management:
- Oversee the operations of the company and manage its compliance with legal and regulatory requirements in conjunction with CEO. This includes but is not limited to the set-up and structure of Lalela Project as a South African Trust
- Develop a risk management framework for the company and manages the risks identified therein, in conjunction with CEO
- Manage and monitor Lalela Project programs and program staff
- Evaluate in- place systems and procedures and streamline where appropriate
- Evaluate technology implementation and optimize within budget constraints
- Evaluate and control travel, entertainment and all discretionary expenditures and implement new written policies for these issues
- Review facilities and real estate issues, including a review of current lease requirements
- Review all equipment leases for cost cutting/ improved technology opportunities
- Promote a culture that reflects Lalela Project’s values, encourages good performance, and rewards productivity
- Manage by roaming around”- gaining insights into attitudes and problem areas from within all levels of the organisation
Staff Management:
- Develop employee job descriptions
- Train employees based on the Lalela Project model
- Manage all employee relations including hiring, termination, and disciplinary actions
- Ensure that the human resources of the company are properly managed according to authorised personnel policies and procedures that fully conform to current laws and regulations
- Develop and manage employee appraisals
Fiscal Management:
- Develop and manage operational and project budget in conjunction with CEO
- Ensure strict budget controls and procedures are in place, including banking, petty cash, procurement of vendors, etc.
- Work with accountant to report finances to SA Revenue Services and South Africa Department of Social Development
- Liaise with auditors
- Submit bi-weekly expense and revenue reports to the CEO
- Oversee staff in developing annual budgets that support operating plans and submits budgets for board approval in conjunction with CEO
- Prudently manages the organization’s resources within budget guidelines according to current laws and regulations
- Ensures that staff practices all appropriate procedures in compliance with regulatory standards in conjunction with CEO
Program Management:
- Oversee measures and evaluations of Lalela Project’s programs and services
- Stay abreast of current trends related to Lalela Project’s services and anticipate future trends likely to have an impact on its work
- Collect and analyse evaluation information that measures programme effectiveness; refine or change programs in response to that information
Marketing and PR:
- Oversee content, production and distribution of all marketing and publicity materials in conjunction with CEO
- Manage press outreach in conjunction with CEO
